ChatGPT can help draft and organise routine work, but the value depends on the task, the information you provide and the time needed to check the result. Start with one low-risk activity and measure it. There is no reliable promise that every business will save a fixed number of minutes or achieve a return within a set period.
Pick one task with a clear finish
Good trial candidates include turning non-sensitive notes into an action list, drafting an internal procedure or creating social copy from an approved service brief. Choose something a team member already understands well enough to review. Keep customer replies as drafts until a person has checked and authorised them.
Before the trial, record how long the task normally takes, what an acceptable result looks like and common mistakes. Include checking and correction time when comparing the new process. Faster drafting is not useful if it creates more rework.
Give the prompt a job, boundaries and source material
Try this with fictional or approved non-sensitive material:
Turn the notes below into a short action list. Include the action, owner and due date only when they are stated. Mark missing details as unknown. Do not invent commitments. Then list questions a human needs to resolve before using the result.
For a marketing draft, supply verified service facts, intended audience, tone and maximum length. Ask for a draft using only those facts. Check every claim, contact detail and link before publication; a request not to invent information is a useful instruction, not a guarantee of accuracy.
Choose the data rules before connecting accounts
OpenAI states that ChatGPT Business, Enterprise and API business data is not used for model training by default. That does not mean every plan has the same retention, administration or access features, or that an integration cannot disclose information. Check the actual plan, settings and service terms.
Use an organisation-approved account, appropriate authentication and a clear rule about what staff may upload. Do not paste passwords, recovery codes, private client files or unnecessary personal data into a trial. A business subscription alone does not establish that your particular use meets your organisation’s obligations.
When a GPT or connected service sends information to an external application, that application’s handling matters too. OpenAI’s GPT guidance explains that relevant input can be sent to third-party services used by a GPT. Review the destination and permissions before enabling it.
Keep the first workflow simple
Begin with manual drafts. If the trial proves useful, decide whether a connection is needed at all. An integration should have a named owner, the minimum necessary permissions, clear failure handling and a way to stop it. Test with safe sample data before giving it access to live work.
Generating a draft and sending it are separate actions. Keep human approval before customer communication or changes to business records until the exact workflow, risks and authorisation are established. Check numbers against the source record or a deterministic calculation, rather than accepting fluent wording as proof.
Use a short trial log
- Record the task, existing process and baseline time.
- Write the data boundary and name the reviewer.
- Run representative examples, including an incomplete input.
- Record drafting time, review time, errors and whether the output was usable.
- Compare the result with the baseline and decide to continue, revise or stop.
