There are two kinds of business: the ones that have lost data and the ones that have not lost data yet. The second kind almost always believes it is covered, and about half the time it is not — because the backup was set up years ago and quietly stopped, or because it only ever ran on the one machine, or because nobody has tried to get anything back out of it.
A backup you have not tested
A backup you have never restored from is not a backup. It is a hopeful assumption with a monthly cost. The only thing that tells you it works is pulling a real file out of it and opening it, which is why restores get tested here rather than assumed.
What actually happens
The failures worth planning for are not exotic. A laptop gets stolen from a van. A hard drive dies with three years of quotes on it. Somebody deletes the wrong folder and empties the bin, and nobody notices for a fortnight. Ransomware encrypts everything on the machine and then everything the machine could reach, which on most small networks means the shared drive as well.
That last one is why local copies alone do not count. If the backup drive is plugged into the machine, it gets encrypted along with everything else. Yours runs off the machine, automatically, without anybody having to remember to do it on a Friday.
The difference on the bad morning
The practical difference this makes is what happens on the bad morning. With a tested backup, a stolen laptop is an insurance claim and an afternoon of setup. Without one, it is your customer list, your accounts and every quote you have written, and a decision about whether to pay somebody to give them back.
