Your customer system should help people understand what happened and what needs to happen next. When a view is confusing or a record appears to be missing, staff can end up keeping separate notes and asking colleagues for information the system should make available.

Sales and service have different daily questions
Sales teams need to track customer relationships and the progress of opportunities. Service teams need to manage customer issues and follow-up work. Microsoft describes these capabilities in its Dynamics 365 Sales overview and Customer Service overview.
For support, ‘the CRM is difficult’ is a starting conversation. ‘I cannot find the opportunities assigned to me after changing this filter’ is something we can investigate.
Describe the symptom before requesting a rebuild
Bring an example of the affected step, the app you are using and who experiences the problem. Does it affect one user or everyone? Did it work previously? Is the record missing, or is it excluded by a view? A permissions issue and an unsuitable form can look similar to the person doing the job.
Avoid giving broad access simply to make the problem disappear. Check the intended role and the information the person needs for their work.
Make changes with the team that uses them
A sensible improvement might be a clearer view, a form adjustment or a change to the agreed process. Test it with representative records and the relevant user roles before relying on it in daily work. Include the awkward case, not just the neat example.
Record what changed and show staff how to use it. Otherwise a technically correct change can still leave the team working around the system.
Check the app before planning an upgrade
Microsoft continues to support Customer Service Hub for existing organisations, while directing new Enterprise organisations to Copilot Service workspace and recommending migration for existing customers.
